1:1 Business Appointments
Business appointments are a key part of the Summit, giving you dedicated time to meet buyers, suppliers and fellow delegates.
All meetings are arranged in advance through our online eSchedule system.
Appointment scheduling opens:
- 17 September 2026 – BETA Members
- 21 September 2026 – Non-Members
The system closes at 5.00 pm BST on Friday 2 October 2026, when all meeting schedules become final.
Your login details will be emailed to you when the system opens for your registration type.

Access opens in two phases:
17 September – BETA Members
21 September – Non-Members
BETA Members receive priority access, giving them the opportunity to start sending and receiving meeting requests before the system opens to non-members.
Appointment scheduling closes at 5.00 pm BST on Friday 2 October 2026, when all schedules become final.
Your login details will be emailed to you when the system opens for your registration type.
Each delegate has 18 available meeting slots, each lasting 10 minutes. All meetings are pre-scheduled in advance of the event using the eSchedule account so that you can:
- Have full control over who you meet and when
- Get detailed information on all registered participants
- Access your eSchedule wherever you are, at any time of the day or night
- Schedule meetings in two clicks via PC, tablet or smartphone
Once the appointment system opens, you’ll be able to view detailed profiles of all registered organisations and decide who you would like to meet.
Appointments are made by mutual consent, so don’t wait for requests to come to you. Be proactive and send meeting requests to the organisations you are interested in meeting.
Who you can meet depends on your registration type:
Buyers can meet Participants and Exhibitors
Participants can meet Buyers, Participants and Exhibitors
Exhibitors can meet Buyers, Participants and Exhibitors
Registrations are still open, and the delegate list is being updated regularly. You can view the companies registered so far here, with more organisations to be added in the lead-up to the Summit.
Once the system opens for you, log in to eSchedule and browse the detailed profiles of participating organisations.
You can send meeting requests to the organisations you would like to meet and receive requests from other delegates.
Meetings are only confirmed once a request has been accepted. Confirmed appointments will then automatically appear in your schedule.
Log in regularly. New buyers and suppliers will continue to be added as registrations come in.
Be proactive. Don’t wait for requests to come to you – send requests to the organisations you are interested in meeting.
Request more than 18 meetings. Although there are 18 available slots, you may need to send more requests than this to build a full schedule. Requests will be accepted and declined throughout the scheduling period, so your diary will continue to evolve.
Respond to requests promptly. Accept or decline the requests you receive rather than leaving them unanswered. This helps both you and other delegates finalise schedules.
One person will be assigned as your Lead Delegate and will automatically receive the company’s appointment schedule.
Your delegates can attend meetings together or divide appointments between the team as appropriate.
If your schedule becomes full and you would like an additional delegate to have their own appointment schedule, please contact the BETA team, and we can open an additional schedule for you.
Business appointments operate on a free-flow basis, so delegates move between meeting locations for their scheduled appointments.
Your final schedule will show you who you are meeting and where each appointment will take place.
Companies that have upgraded to a fixed exhibition meeting table have their own dedicated meeting location. See below for more information about upgrading.
Yes. If you would prefer a dedicated meeting location throughout the business appointment sessions, you can upgrade your registration to a fixed exhibition meeting table, subject to availability.
A fixed table gives your company a permanent position in the main meeting hall, greater brand visibility and space to display marketing materials. In most cases, your appointments will come to you rather than you moving between meeting locations.
Prices start from £600 + VAT
Tables are limited and allocated on a first-come, first-served basis. Contact the BETA team to upgrade your booking.
Your appointments will normally take place at your allocated meeting table, with the companies you are meeting coming to you.
If you have an appointment with another company that also has a fixed exhibition table, the meeting will take place at the table of the company that sent the meeting request.
This means you may occasionally need to leave your own table for an appointment.
Your dedicated meeting space includes:
- 1 meeting table
- 4 chairs
- Space for one display up to 6ft wide, or two pop-up banners up to approximately 2m x 1m each
You are welcome to bring brochures, marketing materials, a tablecloth and suitable pop-up branding for your space.
Delivery and access details will be sent in advance.
Appointment scheduling closes at 5.00 pm BST on Friday 2 October 2026.
Your schedule becomes final at this point. We recommend waiting until after the system closes before printing or saving your final schedule, as appointments may continue to change before the deadline.
Please bring a copy of your final schedule with you or ensure you can access it on your phone or other device during the Summit.
